Refund & Cancellation Policy

This Refund and Cancellation Policy outlines the terms under which Zutawa Studios Private Limited ("Company," "we," "us," or "our") handles refunds and cancellations for our professional services. As a service-based company, our refund policy is designed to be fair to both our clients and our team.
By engaging our services, you acknowledge and agree to the terms of this Refund and Cancellation Policy.
2. Service Model
Our services are primarily project-based and include:
- Custom Software Development
- Website Development
- Design Services (UI/UX, branding)
- Technology Consulting
- Mobile App Development
- Cloud & DevOps Services
Each engagement is governed by a Service Agreement or Statement of Work (SOW) that outlines specific deliverables, timelines, and payment milestones. This policy applies in conjunction with those agreements.
3. Cancellation Policy
Clients who wish to cancel a service engagement should follow the process below:
- Submit a written cancellation request to contact@zutawa.com with your project reference details.
- Cancellation requests must be made at least 7 business days before the next scheduled milestone.
Upon cancellation, the following will apply:
- Work completed up to the cancellation date will be billed at the agreed rate.
- Any advance payments made for undelivered milestones will be refunded as per the refund terms below.
- The client will receive all completed deliverables up to the point of cancellation.
4. Refund Eligibility
Refunds are available under the following circumstances:
Non-Delivery
If we fail to deliver agreed-upon services or deliverables within the stipulated timeframe (plus any agreed extensions) without a valid reason, a full or partial refund will be issued for the undelivered portion.
Quality Issues
If delivered work substantially fails to meet the specifications outlined in the Service Agreement, and we are unable to rectify the issues within a reasonable correction period (typically 14 business days), a refund may be issued for the affected portion.
Duplicate Payments
If a client is charged more than once for the same service due to a technical error, the duplicate charge will be fully refunded.
Service Not Started
A full refund will be issued if cancellation is requested before any work has commenced on the project.
5. Non-Refundable Items
The following items and services are non-refundable:
- Consultation fees and discovery session charges
- Services that have been fully delivered and accepted by the client
- Third-party costs incurred on behalf of the client (domain registrations, hosting fees, software licenses, API subscriptions, etc.)
- Custom development work that has been completed as per agreed specifications
- Rush or expedited service fees
- Payments for milestones that have been formally approved and signed off by the client
6. Refund Process
To request a refund, please follow these steps:
- Send a written refund request to contact@zutawa.com with your project details and the reason for the refund request.
- Include your project or invoice reference number in the request.
- Our team will review the request within 5–7 business days and may reach out for additional information.
- If approved, refunds will be processed within 15–20 business days from the date of approval.
- Refunds will be issued to the original payment method used for the transaction.
7. Partial Refunds
In cases where work has been partially completed, refunds will be calculated on a pro-rated basis considering:
- The percentage of work completed relative to total scope
- Resources, personnel hours, and infrastructure costs already invested
- Third-party costs already incurred on behalf of the client
- The specific terms regarding partial completion outlined in the Service Agreement
8. Dispute Resolution
If you are not satisfied with our refund decision, we encourage you to:

- We will attempt to resolve the issue through good faith negotiation within 15 business days.
- If unresolved, the dispute will be handled as per the Dispute Resolution clause in our Terms and Conditions.
- Courts in Bengaluru, Karnataka shall have exclusive jurisdiction over any legal disputes.
9. Modifications to This Policy
We reserve the right to modify this Refund and Cancellation Policy at any time. Changes will be effective upon posting to our website at https://zutawa.com/refund-policy. We encourage you to review this policy periodically.
